Privacy Policy

Last Updated: [publication date]

TaxWhiz Professional Services Corp. ("TaxWhiz", "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, submit information through our forms, make a payment, or use our tax preparation and advisory services.

By accessing our website or providing us with your personal information, you consent to the practices described in this Privacy Policy.

1.Information We Collect

We collect the following types of information:

A. Personal Information You Provide

Through our website forms, we may collect your full name, email address, phone number, and general information about your tax situation.

Sensitive tax information — including your Social Insurance Number (SIN), date of birth, mailing address, tax documents (T4s, T5s, receipts, financial records), and corporate records — is collected through our secure client portal (CCH iFirm), not through general website forms. This is a deliberate safeguard to protect your most sensitive information.

B. Payment Information

All payment transactions are processed securely through Stripe. TaxWhiz does not store or have access to your full credit card details. We may retain payment confirmation details (such as a transaction reference) for our records.

C. Automatically Collected Information

When you visit our website, we may collect your IP address, browser type, device identifiers, usage patterns, and cookie data (where enabled). This information helps us improve website performance and security. See our Cookie Policy for details.

2.How We Use Your Information

We use your information to prepare and file your tax return(s); provide bookkeeping, payroll, and advisory services; contact you regarding your return or service engagement; verify your identity; improve our website and service offerings; comply with Canada Revenue Agency (CRA) and Revenu Québec requirements; issue invoices, receipts, and communications; maintain accurate internal records; and meet our legal and regulatory obligations.

We do not sell or rent your personal information to third parties.

3.How We Share Your Information

We share your personal information only under the following circumstances:

With your consent — for example, where you authorize us to communicate with the CRA, Revenu Québec, or another party on your behalf.

With service providers who help us operate our business, such as Stripe (payment processing), CCH iFirm (secure client portal and document exchange), and Google Workspace (email, calendar, and related services). These providers are contractually required to protect your data and use it only for the services they provide to us.

When required by law — for example, in response to CRA or Revenu Québec requests, court orders, or to comply with federal or provincial regulations.

We never share your information for marketing purposes.

4.Where Your Information Is Processed

Some of our service providers may store or process data on servers located outside Canada, including in the United States. Where this occurs, your information may be subject to the laws of those jurisdictions. We take reasonable steps to ensure your information continues to be protected in accordance with this policy and applicable Canadian privacy law.

5.Data Security

We take the security of your data seriously and implement safeguards including encrypted data transmission (SSL/TLS), a secure client portal for document uploads, access controls and authentication, secure storage practices, limited internal access on a need-to-know basis, and periodic security reviews.

Despite these measures, no method of transmission over the Internet is completely secure, and we cannot guarantee absolute security.

6.Data Retention

We retain your information only as long as necessary to provide our services, comply with CRA, Revenu Québec, and other legal obligations, and maintain records for audit and regulatory purposes. Consistent with CRA guidelines, tax-related records are typically retained for a minimum of six (6) years.

7.Your Rights

Subject to applicable law, you have the right to request access to your personal information, correct inaccuracies, withdraw consent (subject to legal and contractual limitations), and request deletion of your personal data where applicable. To exercise your rights, contact us at info@taxwhizpro.ca.

8.Third-Party Links

Our website may contain links to third-party sites. We are not responsible for the privacy practices or content of those sites.

9.Changes to This Privacy Policy

We may update this policy periodically. The "Last Updated" date reflects the most recent version.
